Privacy Policy
1. Who we are, and who the studio is
PawLux, LLC ("PawLux", "we", "us") — a Virginia limited liability company, principal office 582 Lynnhaven Pkwy, Suite 100, Virginia Beach, VA 23452 — provides the online booking, client portal, messaging, and payment software used by independent pet-grooming studios ("Studios").
When you book with a Studio, the Studio is the business responsible for your relationship: it sets its own hours, prices, and policies, decides what information it needs, and is the merchant of record for what you pay. PawLux processes your information on the Studio's behalf and under the Studio's instructions, and also as needed to operate and secure the platform.

2. What we collect
- Your contact details — name, email address, mobile phone number, and (if you give it) home address and an emergency contact.
- Your pet's details — name, species, breed, coat and size, age and weight, behavior notes, vet name and phone, photos you upload, and vaccination ("shot record") documents you or the Studio upload.
- Appointment details — services chosen, dates and times, status (checked in, grooming, ready for pickup), groomer notes, report cards, and messages between you and the Studio.
- Payment details — handled by Square. PawLux receives a confirmation, the amount, the last four digits of the card, and a receipt link. PawLux never stores your full card number.
- Sign-in details — if you sign in with Microsoft, we receive your email address and, when provided, your name. We do not receive your password.
- Technical details — the date and time of your actions, the pages you use, and standard server logs, used for security and to keep the service working.
3. How we use it
- To schedule, confirm, change, and complete your pet's appointments.
- To send appointment-related notices by email and — only with your consent — by text message (see Section 5).
- To take deposits and payments through Square, and to issue refunds when the Studio's policy allows.
- To let the Studio keep the records it needs (vaccination status, grooming history, notes) to care for your pet safely.
- To answer your messages, resolve problems, and prevent fraud or abuse.
- To comply with law and to enforce our Terms.
We do not use your information for advertising networks, and we do not sell it.
4. Who we share it with
| Recipient | Why |
|---|---|
| Your Studio | It is the business you booked with; it sees everything you provide about you and your pet. |
| Square, Inc. | Payment processing and receipts. Square's own privacy policy applies to the payment itself. |
| Microsoft Azure (hosting, email, and text-message delivery via Azure Communication Services) | To run the platform and deliver the notices you asked for. |
| Law enforcement or courts | Only when required by law or to protect safety. |
We do not share your mobile phone number, or your text-messaging consent, with third parties or affiliates for their marketing or promotional purposes. Text-messaging opt-in data is used only to send you the messages you agreed to.
5. Text messages (SMS)
If you give the Studio your mobile number and check the consent box at booking, the Studio (through PawLux) may text you appointment-related messages: confirmations, "your pet is ready for pickup" alerts, and sign-in verification codes. Full program terms, message frequency, and how to stop are on our Text Message Program page.
- Consent is not a condition of booking or purchase — you can book without it and receive email notices instead.
- Reply STOP at any time to opt out; reply HELP for help. Message and data rates may apply.
- We keep a record of when and how you consented, and when you opted out.
6. How long we keep it
We keep your account, pet, and appointment records for as long as you have a relationship with the Studio and as the Studio's record-keeping obligations require. Vaccination documents are kept for the period the Studio needs them to verify your pet's status. Payment records are kept as required by tax and accounting law. You can ask the Studio to close your account at any time; some records may be retained where the law requires.
7. How we protect it
Data is stored in Microsoft Azure data centers in the United States, encrypted in transit and at rest. Access inside a Studio is limited to its owners and staff by role. PawLux staff access is limited to what is needed to operate, support, and secure the service, and is logged.
8. Your choices and rights
- See and update your contact details, notification preferences, and your pet's profile in the Pet Parent portal.
- Opt out of texts by replying STOP, or turn off reminders in the portal's settings.
- Ask for a copy, a correction, or deletion of your information by contacting your Studio or PawLux (Section 11). We will confirm your identity first.
- Virginia residents: under the Virginia Consumer Data Protection Act you may have the right to access, correct, delete, and obtain a copy of your personal data, and to opt out of targeted advertising, sale, or profiling. We do not sell personal data or use it for targeted advertising. To exercise a right, or to appeal a decision, contact us at the address in Section 11.
9. Children
The platform is for adults booking pet care. We do not knowingly collect information from children under 13. If you believe a child has provided information, contact us and we will delete it.
10. Changes
We will post any change here with a new effective date. If a change materially affects how we use your information, the Studio or PawLux will tell you by email or in the portal before it takes effect.
